Reporting to the Controller, the Accounting Generalist assists with and is cross-trained on the primary day-to-day functions of the Accounting Department:
Billing, Accounts Receivable, and Accounts Payable.
This role provides shifting support and responsibility based on changing needs, proficiency, and aptitude but will be the ultimate utility player supporting the Accounting Team's priorities, including when other team members are on leave/vacation.
Primary Functions:
Accounts PayableReceive, authenticate, enter into system, and upload/download vendor invoices, matching against purchase orders or other approval methods as required.
Follow up with vendors or FM personnel to ensure appropriate authentication and approval.
Research and respond to vendor inquiriesProcess and reconcile charges on company-issued credit cardsAssist with weekly check run and payment reviewFile / Organize company copies of correspondence, including vendor invoices and credit card receiptsBilling/Accounts ReceivableInvoice assigned customers following approved guidelines ensuring invoices meet customer-specific requirements.
Follow-up with appropriate Operations or Sales team members to ensure accurate and timely invoicing.
Process payments received from customers including EFTS, checks, and credit card paymentsAct as contact for customers with billing-related questionsContact and follow-up on customers with unpaid balances, arrange for payment, notify Controller if non-payment seems likely for change in Credit Hold status; enter collection activity in the corresponding customer notes section into systemFill out certified payroll forms accurately and provide to HR for signature.
File / Organize company copies of correspondence, including invoicesPerform other duties, and support other team members as required or assigned.
Such duties may include special projects, payroll processing, reporting, and review and analysis.

Experience:
Previous accounting experience is a plusHigh School Diploma required.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
